We help diagnostics, biotech, healthcare software, and healthcare nonprofit teams build HubSpot around the way patients, providers, and partners actually reach them.

Healthcare teams serve more stakeholders than most. A single inquiry can involve a patient, a referring physician, a payer, a call center agent, and a marketing team that wants to know which program brought them in.
When those touchpoints live in separate tools, nobody sees the whole journey. Call notes stay with an outsourced vendor. Referrals are tracked in spreadsheets, and leadership gets a different answer depending on who builds the report.
The stakes are also higher. Data access has to be controlled, and some processes, like physician referrals, may need to stand up to an audit. That makes “we’ll clean it up later” a risky plan.
We design HubSpot as the system your commercial, outreach, and service teams share, with clear rules for who sees what. The work usually covers three areas.
Underneath, we set one lifecycle that every team uses, from first inquiry to the outcome you care about. Reporting is built on those shared definitions, so a referral or an enrollment means the same thing in every dashboard.
Compliance decisions stay with your legal and security teams. We build to the requirements they set and document how the system meets them, which makes vendor and security reviews easier to get through.
Many teams start with a narrow first release tied to a real deadline, then add integrations in later phases.
Hoag Orthopedic Institute is a nonprofit orthopedic organization in Southern California with a network of about 300 affiliated surgeons. Its call center is the front door for patients looking for a physician, and it had been run by an outside vendor. That left the institute without its own CRM, without ownership of its call data, and with little visibility into call quality.
Pyxis built Hoag’s first CRM in HubSpot and the tooling for a new in-house call center. The project included:
The first release was planned to launch in April 2026 so new call center staff could start on the new system from day one.
This work fits healthcare organizations where several teams touch the same people and HubSpot is in place or being selected:
We go deeper in discovery before we scope, which matters when a project has to clear legal and security review. And because the same team designs, builds, and integrates, the requirements you set at the start carry through to launch.
